Walmart EDI guide
You got the purchase order, or the email saying orders will only come by EDI. You run QuickBooks, NetSuite or a spreadsheet. Vibe EDI costs $99 per trading partner per month. One retailer is one partner. No setup fee, no per-document fees, no VAN.
Walmart publishes its EDI specifications for Walmart.com drop-ship vendors on developer.walmart.com. Store and warehouse suppliers get theirs inside Retail Link after sign-in (Apps, EDI B2B). The published set is the best public picture of what Walmart asks for.
Connection
Walmart names four ways to exchange EDI: a direct AS2 connection, SFTP, a VAN, or a third-party solution provider. AS2 is described as wrapping EDI data with digital certificates and encryption. For VANs and providers Walmart states it “does not govern or dictate the data flow” between them and the vendor.
Documents
Walmart sends the 850 purchase order, 860 change and 997 acknowledgement. The vendor sends the 855 acknowledgement, 856 ship notice, 846 inventory and 997. The samples use X12 version 004010. Walmart's drop-ship 850 uses BEG02 “DS” and carries the customer order number in REF*CO.
Ship notice
The 856 has order, pack and item levels. Every package needs the carrier tracking number (MAN*CP) and a supplier package id (MAN*SM); Site-to-Store packages add an SSCC-18 (MAN*GM). Carrier, method and gross weight go at the pack level.
Before EDI
Walmart requires a GS1 Company Prefix (for UPCs), a federal TIN, a Dun & Bradstreet number and supplier liability insurance before approving a product supplier.
File naming
A file naming convention applies only to production SFTP. Over AS2 or a solution provider “the naming convention is not required.”
Reported, not verified
EDI consultants describe a free WebEDI portal inside Retail Link for low-volume suppliers, with a 5,500-invoice-a-year ceiling and a one-year minimum stay. We could not find that on a Walmart page that is open to the public, so ask your Walmart merchant whether it applies to you before relying on it.
You get your own AS2 endpoint at you.vibeedi.com with a certificate. That is the direct AS2 connection in Walmart's list. You enter the AS2 id and URL in Retail Link, Walmart runs its connection test.
Walmart's purchase order lands in your ERP as a webhook or sits in the console until you fetch it. The map from Walmart's 850 to your fields is written in plain English with Vibe Mapping and tested on Walmart's own sample before anything goes live.
Your shipment record becomes the three-level ship notice, including the per-package tracking numbers Walmart requires. The 997 acknowledgement is sent and reconciled for you.
Each partner has a test stream. Walmart's test messages stay out of your production ERP until you flip the agreement to live.
Which program (store supplier through Retail Link, or Walmart.com drop-ship) and which documents they expect from you. Get Retail Link access if you do not have it.
Create the Walmart partner in the console. Your AS2 URL, AS2 id and certificate are ready the same day.
Enter the AS2 details in Retail Link's EDI setup and request Walmart's connection test. Their test 850 shows up in your ledger.
Describe your fields in plain English. Vibe Mapping writes the map and runs it on Walmart's sample. Repeat for 856 and 855.
Flip the agreement to live. Walmart's 850s flow to your ERP and your 856s go back signed and encrypted, with 997s handled.
Not on its own. Intuit's own answer in the QuickBooks Community is to use an app. Vibe EDI delivers Walmart's 850 as JSON to any system that accepts a webhook or REST call, and takes your invoice and shipment data back the same way. We help with the connection to your accounting system during onboarding.
Vibe EDI costs $99 per trading partner per month. One retailer is one partner. No setup fee, no per-document fees, no VAN. Vibe Mapping is included. Cancel when you stop trading with the partner.
No. Walmart lists a direct AS2 connection as one of its connection types, and that is what Vibe EDI gives you.
Walmart's published drop-ship specifications use X12 004010. Vibe EDI handles 4010 through 6020 and later, so the version your Walmart contact names is fine.
Our side is the same week: endpoint, certificate and maps. The pace after that is Walmart's connection test and document testing, which Walmart schedules.
Yes. Each retailer is a separate partner. Many suppliers start with one retailer here and move others later.
