This policy explains what personal data vibeedi collects, why we collect it, who we share it with, and the choices you have. We keep data collection to the minimum needed to run the service.
vibeedi ("we", "us") is operated by Vibe EDI, a Canadian business, and provides an AI-assisted data-mapping tool for generating and managing data transformations. Vibe EDI is the organization accountable for the personal data described in this policy.
We have designated a Privacy Officer who is accountable for our compliance with this policy and with applicable privacy law. For questions about this policy or your data, or to reach our Privacy Officer, contact privacy@vibeedi.com.
This policy covers the personal data we handle as the organization responsible for it — for example your account and usage information. The project content you put into vibeedi (your sample files, source/target data and mappings) is yours; our handling of it is governed by our Terms of Service. We process that content only to provide the service to you, and we do not use it to train AI models.
We collect and use your personal data only when we have a lawful basis under applicable privacy laws to do so — in most cases your consent, given expressly or implied from the context of the service, and otherwise as the law permits or requires (for example to perform our contract with you, to meet a legal obligation, or for our legitimate interest in a secure, reliable service). We use your data for the purposes below:

We do not sell your personal data, and we do not share it for advertising. We may disclose data if required by law or to protect the service and our users.
We and our sub-processors may process and store your data in countries other than yours, including the United States. When your data is in another country it is subject to that country's laws, which may differ from those where you live. Where required, we put appropriate safeguards in place to protect it.
We use two categories of cookies and similar storage:

We send you service and account messages — for example sign-in, billing, security and important changes to the service — as a necessary part of providing vibeedi. We will only send promotional or marketing messages with your consent. Every message we send identifies us and tells you how to reach us, and you can unsubscribe from non-essential messages at any time using the link in the message or by emailing privacy@vibeedi.com. We honour unsubscribe requests promptly.
We keep account and project data while your account is active. Authentication audit logs are retained for a limited period for security purposes. When you delete a project, its mapping data is removed; when you close your account, we delete or anonymise associated personal data, subject to any legal retention obligations. For documents exchanged through the Vibe EDI service, translated copies made available for download are retained for approximately 90 days; the documents as originally received are retained for the life of your tenant and deleted when it is decommissioned.
We use encryption in transit, access controls, and authentication audit logging, and we limit access to your data to what is needed to run the service. No method of transmission or storage is completely secure, but we work to protect your data and to address issues promptly.
vibeedi is not directed to children and is intended for users who can form a binding contract. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.
You have rights over your personal data under applicable privacy laws. We provide the same core rights to everyone, regardless of where you live: you can ask us to access the personal data we hold about you, receive a copy, correct or update it, delete it, or withdraw your consent (subject to legal or contractual limits). We do not sell your personal data or share it for advertising. To exercise any of these rights, contact our Privacy Officer at privacy@vibeedi.com.
If you are not satisfied with our response, you may also have the right to complain to the privacy regulator that applies to you.
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
